This Policy explains shipping, delivery, fulfilment, tracking, failed deliveries, carrier issues, return shipping, and related responsibilities for purchases through Rootsy Marketplace. Rootsy is a marketplace platform and logistics coordinator — it does not own or operate warehouses, delivery vehicles, courier fleets, carrier infrastructure, or shipping networks. Governing law, force majeure, arbitration, and general Platform provisions are in the applicable Buyer and Seller T&Cs. Prohibited and restricted products are governed by the Prohibited Products & Acceptable Use Policy, which applies in full to all sellers and buyers.
1. Rootsy as Logistics Coordinator Rootsy may facilitate, coordinate, or support: checkout shipping calculation; shipping method display; shipping label facilitation; shipment tracking; delivery notifications; return label facilitation; shipping issue support; lost or damaged shipment claim coordination; and shipping-related dispute review. Rootsy is not the carrier, courier, freight provider, warehouse operator, importer, or physical delivery provider. Rootsy is not a payment service provider.
2. Seller Fulfilment Obligations Sellers are responsible for: maintaining accurate inventory; accepting and fulfilling valid orders; packaging products safely; declaring accurate product weight and dimensions; using correct shipping labels; providing accurate origin, pickup, or drop-off information; making packages ready for pickup or drop-off within required timelines; complying with carrier and logistics provider requirements; ensuring products are lawful and permitted to ship; and cooperating with shipping investigations, claims, returns, refunds, and disputes. Sellers must comply with the Transportation of Dangerous Goods Act (TDGA, S.C. 1992, c. 34) for any restricted or potentially dangerous products (including lithium batteries, aerosols, flammable products, and cleaning products). Sellers are responsible for correct TDGA classification, packaging, labelling, and documentation.
3. Buyer Delivery Responsibilities Buyers must provide: correct name, phone number, email address, and shipping address (including unit number, buzzer, and building access instructions); accurate delivery instructions; and timely response to carrier delivery attempts. Rootsy, sellers, and carriers are not responsible for delivery problems caused by incorrect, incomplete, inaccessible, or outdated buyer-provided information.
4. Shipping Charges, Taxes, and Promotions Unless otherwise stated at checkout or in a Rootsy promotion, shipping and delivery charges are payable by the buyer. Shipping charges are calculated based on seller location, buyer location, product size, weight, package dimensions, shipping method, carrier rates, fuel surcharges, and third-party logistics pricing. All shipping charges are displayed at checkout before payment in accordance with the Competition Act (Canada). Shipping charges may be subject to applicable taxes (GST, HST, PST, QST, RST). Rootsy may offer promotional shipping discounts, free-shipping campaigns, seller-funded or Rootsy-funded shipping promotions from time to time. Such promotions apply only according to their stated terms and do not automatically apply to returns, replacement shipments, reshipments, failed deliveries, or address-error shipments unless expressly stated.
5. Service Availability and Delivery Estimates Shipping options may vary by seller location, buyer location, product type and restrictions, courier availability, carrier network coverage, and applicable law. Not all products can be shipped to all locations. Rootsy or the seller may cancel an order if shipping is unavailable, restricted, or not supported for the buyer's location or product type. Delivery dates and timelines shown on Rootsy are estimates only and are not guaranteed. Delivery may be affected by seller processing time, carrier delays, weather, labour disruptions, holidays, peak seasons, remote-area service, product restrictions, or events outside Rootsy's reasonable control. Rootsy is not responsible for carrier delays, delivery failures, or late deliveries beyond its role as a platform and logistics coordinator.
6. Risk of Loss Risk of loss for an order transfers from the seller to the buyer when the carrier accepts physical possession of the package from the seller. After this transfer, Rootsy, the seller, and their agents are not responsible for loss, theft, damage, or misdelivery that occurs in transit unless caused by seller error (such as poor packaging, incorrect labelling, or misdeclared contents). Where Rootsy coordinates shipping through third-party logistics providers and carriers, shipping is performed under the carrier's own terms of carriage. The carrier's maximum liability provisions apply to lost or damaged shipments. Buyers and sellers acknowledge that carrier liability for lost or damaged parcels may be limited under the carrier's terms (e.g., Canada Post's standard maximum liability) and that additional declared-value insurance may be required for high-value items.
7. Packaging, Labels, and Shipping Information Sellers must package products safely and appropriately for the product type, value, fragility, weight, size, and delivery method. Packaging must reasonably protect the product from damage during normal carrier handling. For special-handling products (fragile, perishable, temperature-sensitive, oversized, hazardous consumer products), sellers are responsible for determining and using appropriate packaging, labelling, and shipping methods. Where Rootsy provides or facilitates a shipping label, sellers must use the correct label for the correct order and package. Labels must not be reused or altered. Sellers must not mark an order shipped unless the package has been properly handed off to the carrier. Sellers must provide accurate product weight, package weight, product and package dimensions, shipping origin, and shipment information. If inaccurate information causes additional carrier charges, failed pickup, delivery failure, returned shipment, refund, dispute, or carrier penalties, the seller may be responsible for the resulting costs.
8. Prohibited and Special-Handling Shipments Sellers must not ship products that are prohibited, restricted, unsafe, illegal, misdeclared, hazardous, improperly packaged, or not permitted by Rootsy, carriers, logistics providers, or applicable law. The full list of prohibited and restricted product categories is governed by the Prohibited Products & Acceptable Use Policy, which applies in full to all sellers and governs in the event of any inconsistency with this Policy. Prohibited shipments include, without limitation: illegal products; counterfeit, stolen, replica, and unauthorized branded goods; recalled and unsafe products; firearms, ammunition, explosives, and weapons; controlled substances, narcotics, and drug paraphernalia; cannabis, THC, CBD, and controlled cannabinoid products; tobacco, nicotine, and vaping products (unless Rootsy has expressly approved in writing); prescription medications and unauthorized health products; adult, sexual, obscene, and exploitative products; hate, violence, harassment, and extremist products; live animals, wildlife, and prohibited animal products; financial products, government-issued identification documents, malware, spyware, hacking tools, and unauthorized surveillance devices; hazardous and radioactive materials; and any other category prohibited under the Prohibited Products & Acceptable Use Policy or applicable law. Certain categories require Rootsy approval before listing or shipping, including: food and non-alcoholic beverages; alcohol and alcoholic beverages; cosmetics, personal care, and beauty products; natural health products, supplements, and wellness products; medical devices; children's and baby products; electronics and batteries; fragile goods; perishables; oversized items; temperature-sensitive products; and such other categories as Rootsy may designate from time to time under the Prohibited Products & Acceptable Use Policy. Rootsy may cancel orders, remove listings, restrict accounts, or report issues where prohibited or restricted shipments are involved.
9. Multi-Seller Orders and Tracking Where an order involves multiple sellers, items may ship separately with different tracking numbers and arrival dates. Shipping charges may be calculated separately or together. Rootsy may split, partially fulfil, or separately process items based on seller availability, product restrictions, carrier requirements, or operational requirements. Where tracking is available, Rootsy may provide tracking information through the Buyer Account, email, SMS, or other approved channels. Tracking updates may be delayed or inaccurate due to carrier system issues. Sellers must not provide false tracking information.
10. Failed, Refused, and Undelivered Packages A failed delivery may occur where the buyer is unavailable; the address is incorrect or inaccessible; the buyer refuses delivery; or the package is not collected from a pickup point. If a delivery fails because of buyer-controlled reasons, the buyer may be responsible for original shipping, return shipping, reshipment, processing, restocking, storage, and administrative costs where permitted by law and Rootsy policy. If a buyer refuses delivery, fails to collect a package, or causes the package to be returned, Rootsy may treat the shipment as a buyer-caused failed delivery. Original shipping may be non-refundable; return shipping may be deducted from any refund; reshipment costs may be charged to the buyer; and the refund may be delayed or reduced based on product condition and costs incurred.
11. Lost, Damaged, and Delivered-but-Missing Packages
Lost packages: A shipment may be treated as lost where tracking shows no progress for an extended period or the carrier confirms loss. Rootsy may require investigation time before approving a refund or replacement. Rootsy may approve continued waiting, replacement, full or partial refund, carrier claim escalation, or another appropriate resolution. Damaged packages: Submit a return or support request within the applicable return window with photos of the damaged product, packaging, and shipping label. If damage is caused by poor seller packaging, seller mislabelling, or seller preparation error, the seller may be responsible for the refund, return shipping, replacement shipping, and related costs. Delivered-but-missing: If tracking shows delivery but the buyer claims the package was not received, Rootsy will investigate using tracking, carrier confirmation, delivery photos, GPS data where available, seller records, and buyer information. Rootsy does not guarantee refunds or replacements for packages marked delivered where loss results from theft, unsecured delivery, incorrect address, building access issues, delivery refusal, or buyer unavailability.
12. Shipping Claims and Disputes Carrier claim outcomes are subject to the applicable carrier or logistics provider terms. Rootsy may assist with claim coordination but does not guarantee claim approval, reimbursement amount, or claim timeline. Buyers and sellers must cooperate with investigations and provide requested information. Shipping disputes may be escalated through Rootsy's Resolution Centre. Rootsy will allow 30 days from escalation to the Resolution Centre to attempt informal resolution before a dispute may proceed to arbitration under the applicable Buyer or Seller T&Cs, unless the parties agree in writing to waive that requirement. Rootsy may review tracking records, delivery confirmation, delivery photos, seller and buyer information, carrier notes, and support communications, and may issue a refund, partial refund, replacement, return approval or denial, payout adjustment, or other resolution. Rootsy's decision is final within its internal resolution process, subject to applicable law.
13. Return Shipping Return shipping responsibilities and return label arrangements are governed by the Refund & Dispute Resolution Policy. Where a return is due to buyer preference (including change of mind, buyer remorse, incorrect size, or ordering error), a Return Processing & Logistics Fee of $15 CAD may apply. This fee is pre-disclosed at the product listing and checkout level and will be confirmed before the buyer is required to proceed with the return. Rootsy may waive this fee where the return is caused by seller error, defective product, incorrect item, counterfeit, materially inaccurate listing, or unsafe product. Buyers must follow return instructions provided by Rootsy or the seller.
14. Off-Platform Shipping Arrangements Sellers must not bypass Rootsy's approved shipping, payment, return, refund, or dispute systems. Off-platform shipping arrangements may limit Rootsy's ability to provide support, tracking, refunds, claim coordination, and buyer or seller protection. Rootsy may deny or limit support for shipping issues arising from unauthorized off-platform arrangements.
